Terms of service

General terms

  • Confirmation of Music must be made 30 days prior to event. However, the Client(s) may exchange a song choice with another from the current repertoire list.
  • No Breaks will not be required during a one hour event. If the Harpist is booked for 90 minutes or longer, breaks will be required at the discretion of the Harpist and included in total time booked, unless other arrangements have been made with the Harpist. Client(s) will ensure water is provided to the Musicians. Should the event booking exceed 120minutes, Client(s) will ensure food is provided to the Musicians.
  • During an event, the Client(s) may request an extension of time to the Harpist’s performance. Should the Harpist be available for further time, the extra fee will be paid either by cash, cheque, or etransfer. An invoice will be sent to the Client(s) via mail, and payment required within 7 days of event  performed.
  • Events outside of the Helsinki region will incur an extra charge which will be determined by the Harpist at the time of booking

Outdoor events

  • For outdoor events, the Harpist will perform using a lever harp. In the event of rain, an alternate plan is imperative. Please note when planning an outdoor event, temperature can affect the Harpist and their instrument.  A temperature of no lower than 10˚C is necessary for the Harpist to perform to their highest standard. In extreme heat conditions, further considerations should be made with regard to the health and safety of the Musicians as well as the Client(s) guests.

Payment

  • For outdoor events, the Harpist will perform using a lever harp. In the event of rain, an alternate plan is imperative. Please note when planning an outdoor event, temperature can affect the Harpist and their instrument.  A temperature of no lower than 10˚C is necessary for the Harpist to perform to their highest standard. In extreme heat conditions, further considerations should be made with regard to the health and safety of the Musicians as well as the Client(s) guests.
  • The Harpist will require a non-refundable retainer fee of $100 to confirm booking. Retainer payment goes towards balance owed for the event, and guarantees the booking made by the Client(s).
  • A contract will be signed by the Client(s) and the Harpist ahead of event. Full payment of balance owing is due on or before the day of the event, after which late fees are incurred at 5% per day on entire booking fee. Payments can be made in the form bank transfer, mobile pay or paypal (made out to Elvann tmi.).
  • Events occurring on special holidays and/or dates will incur an extra fee. Please confirm rates withthe Artistic Director.

Cancellation

  • Cancellation requests must be made in writing to the Harpist. Cancellations made two months or more prior to event, monies received (aside from the non-refundable retainer) will be reimbursed. Cancellations made less than two months prior to event, no money is refunded and the balance owing
    is waived. For music arrangements commissioned or requested prior to wedding or event cancellation:
    • If the Client has commissioned and paid in full for a special piece of music to be arranged for their event, and the arrangement has been completed, no refund will be offered. The work has been fulfilled as per the request.
    • If the Client has commissioned and paid in full for a special piece of music to be arranged for their event, and the arrangement has not been completed, payment based on time spent on the arrangement will be held back and a possible offer for refund made at
      the discretion of the Arranger.

Custom Arrangements

  • Special arrangements of music not included in the current repertoire can be commissioned up to 45 days ahead of an event. A fee of 50€ per estimated hour will be charged for extra time spent learning and arranging custom music and will be due immediately upon confirmation of request which covers up to 3 hours of work.  Any arrangement commissioned under 45 days will be charged at the discretion and availability of the arranger.

Wedding Ceremony

  • Wedding ceremony music: The Harpist traditionally performs 30 minutes of Prelude music before the ceremony begins as well as all required music during the ceremony, as agreed upon by the Client(s) and the Harpist, with the total duration not exceeding 90 minutes. A ceremony exceeding the
    time booked will be charged an additional fee and an invoice for overtime will be sent via email and payment required within 7 days of event performed.

Technical Requirements

  • For events in large banquet halls and/or with large numbers of guests, one microphone with a boom stand is required for proper audibility. Connections are to be made through the hall’s main P.A. system, or a DJ’s sound board, or an amplifier. The Client(s) are responsible for the procuring and
    setup of any and all audio and microphone equipment. Any audio equipment provided by the Harpist will incur a rental fee based on what equipment is needed, at the discretion of the Harpist.
  • Indoor venues which are not wheelchair accessible will incur an additional $50 charge, and the Harpist will require assistance provided or arranged by the Client(s) to move the pedal harp in and out of the venue. However, the charge will be waived and no assistance will be required if the Client(s)
    choose to have the Harpist perform on her lever harp instead.
  • One armless chair is required for outdoor events only, as well as an area of at least 1,5×1,5m is required.
